At FairPlay, privacy and confidentiality are fundamental to how our recognition process works.

Businesses, employees and people recommending workplaces should be able to engage with FairPlay with confidence that the information they provide will be handled carefully, securely and responsibly.

We collect only the information reasonably necessary to operate FairPlay and assess workplaces for recognition.

• We do not sell personal information.

• We do not provide personal information to businesses or unrelated third parties for advertising, marketing or commercial purposes.

• Individual employee feedback is treated confidentially.

• If you recommend a workplace, your identity will not be revealed to that workplace.

Information provided to FairPlay is treated as confidential.

When you contact FairPlay, apply for recognition, recommend a workplace or participate in an employee survey, we may collect the information you choose to provide. This may include your name and contact details, information about a business or workplace, and responses provided during the FairPlay assessment process.

We use this information only for legitimate purposes connected with operating FairPlay, including:

• Administering applications for recognition

• Assessing participating workplaces

• Communicating with applicants and participants

• Considering workplace recommendations

• Gathering and reviewing employee feedback

• Maintaining the integrity of the FairPlay recognition process

We aim to collect only the information we need and to keep access to personal information appropriately restricted.

RECOMMENDING A WORKPLACE

FairPlay allows people to recommend businesses that they believe deserve recognition for creating a fair workplace.

If you recommend a workplace, your identity will not be revealed to that workplace when we contact them.

We may tell a business that it has been recommended for FairPlay recognition, but:

• We will not tell the business who made the recommendation.

• We will not provide your name, email address or contact details to the business.

• We will take reasonable care not to share wording from your recommendation where doing so could identify you.

• If you provide contact details, FairPlay may contact you directly if we need further information about your recommendation.

The only exception would be where FairPlay is legally required to disclose information.

EMPLOYEE FEEDBACK

Confidential employee feedback is at the heart of the FairPlay assessment process.

Employees should be able to provide their views without worrying that their individual responses will simply be handed back to their employer.

FairPlay will not provide an employer with an employee's individual survey response in a form that identifies that employee.

Employee feedback is considered as part of the overall assessment of a workplace.

Where findings are communicated to a participating business, FairPlay will take reasonable steps to present them in a way that protects the confidentiality of individual employees.

Particular care will be taken in smaller workplaces where an employee may be easier to identify from their circumstances or comments.

HOW WE PROTECT YOUR INFORMATION

FairPlay takes the security of personal information seriously.

We use appropriate measures to protect information against unauthorised access, loss, misuse or disclosure.

Our approach includes:

• Treating employee feedback confidentially

• Protecting the identity of people who recommend workplaces

• Keeping information only for as long as reasonably necessary

• Using appropriate systems and services to handle information securely

FairPlay will not sell, rent or trade your personal information.

Like most websites and online services, FairPlay may use trusted technology providers for services such as website hosting, forms, surveys, email or data storage. Where these providers process information on our behalf, they are providing a service to FairPlay and are not being given your information for their own marketing purposes.

Information may also be disclosed where FairPlay is required to do so by law.

RECOGNISED WORKPLACES

The purpose of FairPlay is to make fair workplaces recognisable.

Where a business successfully receives FairPlay recognition, we may publicly display appropriate information about the business, including:

• Business name

• Location

• Business type

• Recognition year

• FairPlay recognition status

This does not mean that employees' personal information or individual survey responses will be made public.

YOUR RIGHTS

You have rights in relation to your personal data under applicable data protection law.

Depending on the circumstances, these may include the right to:

• Access personal data held about you

• Correct inaccurate information

• Request deletion of personal data in certain circumstances

• Request restriction of certain processing

• Object to certain uses of your personal information

• Withdraw consent where consent is the basis on which your information is being processed
